Terms of use

These terms of use apply to your access to and use of the OurTeam website and related services. By using the site, you agree to these terms as set out by Astros Marketing (Pty) Ltd, the operator of the platform.

1. Acceptance of these website terms

OurTeam is operated by Astros Marketing (Pty) Ltd from Rosebank, Johannesburg. These terms apply to visitors, clients and any person who accesses the website, submits details through the enquiry form, or uses information made available through the site. If you do not agree to these terms, you should stop using the site and related services.

We may update these terms from time to time to reflect changes in our services, legal requirements, or operational needs. Any changes take effect when they are posted on the site, so it is your responsibility to check the latest version. Continued use of the site after an update means you accept the revised terms.

2. Permitted use of the site and service

The site is intended for lawful business use in connection with team coordination, staff rostering, shift swaps, messaging and team activities. You must not use the site in a way that interferes with normal operation, misrepresents your identity, or attempts to gain unauthorised access to any part of the service. You also must not use the site for unlawful, misleading or harmful purposes.

  • Use the enquiry form honestly and keep details accurate
  • Do not upload material that is offensive, unlawful or infringing
  • Do not attempt to disrupt rosters, messages or activity records
  • Do not copy or reuse site content without written permission

Where the site allows messaging or activity planning, you remain responsible for the content you send and for the decisions your business makes based on that content.

3. Rosters, shift swaps and workplace compliance

OurTeam is designed to support scheduling and team coordination, but every employer remains responsible for its own rostering decisions. Rosters should be prepared in line with the Basic Conditions of Employment Act and any other rules that apply to the workplace, industry or contract. This page does not provide legal advice, and it does not replace guidance from a qualified labour professional where that is needed.

You should make sure that shift times, rest periods, overtime arrangements, notice periods and swap approvals are suitable for your staff and your business. If a manager approves a change, it remains your responsibility to check that the final roster is lawful and practical. In busy periods, especially in Johannesburg, Cape Town or Durban, you may need to allow for transport delays, public holidays, load-shedding and site access rules.

4. Account information, team access and support

When you ask for account setup, team import help, roster template setup, manager training, staff training, site rollout, policy alignment, swap process help, message setup, activity planning help, go live support or ongoing check ins, you agree to provide accurate information and cooperate with reasonable setup steps. If you give access to managers or staff, you are responsible for who has permission to view, edit or approve roster information.

  • Keep login details secure and do not share them carelessly
  • Check imported information before using it in live rosters
  • Tell us promptly if a user should no longer have access
  • Use support channels through the enquiry form on our contact page

We may assist with implementation and training, but final responsibility for internal staffing decisions stays with your business. This is important for sites in Rosebank, Sandton, Midrand, Pretoria and Bloemfontein, where teams may work across more than one location.

5. Intellectual property and site material

All site content, wording, layout, images, marks and related material belong to Astros Marketing (Pty) Ltd or are used with permission. You may view the site for normal business purposes, but you may not copy, publish, distribute or modify our material unless we have agreed in writing. Any feedback you send to us may be used to improve the service, unless we agree otherwise.

If you submit content such as team names, roster notes or activity details, you confirm that you have the right to share that information. You also confirm that it does not breach any third party rights or internal policy that applies to your workplace.

6. Liability limits and practical use

We aim to keep the website available and accurate, but we do not promise that it will always be uninterrupted, error free or suitable for every business process. Connectivity, device settings, power interruptions and local network issues may affect access, especially during load-shedding or on sites with limited signal. You use the site at your own risk and are responsible for back-up checks and internal verification of roster data.

To the extent allowed by law, Astros Marketing (Pty) Ltd is not liable for indirect loss, missed opportunity, staff disputes caused by incorrect data supplied by a user, or any decision made by a business based on information viewed on the site. Nothing in these terms excludes liability where the law does not allow it.

7. Governing law and contact process

These terms are governed by the laws of South Africa. Any dispute about the use of the website or related services must be handled under South African law, subject to any mandatory legal process that may apply. If you need to ask about these terms, request clarification, or raise a concern about site use, please use the enquiry form on our contact page.

OurTeam is based in Rosebank, Johannesburg and supports businesses across South Africa, including Cape Town, Durban, Pretoria, Bloemfontein, Midrand and Sandton. We recommend that each business reviews its own policies regularly so that roster handling, messaging and team activities stay aligned with internal procedures and local workplace needs.
